Administrative Assistant


Reporting to the Head of Division, the Administrative Assistant is responsible for providing helpdesk and administration support for the Division ensuring quality systems are in place so employees receive timely and efficient service.

RESPONSIBILITIES:

The successful candidate will:

  • Organize and maintain all records and documents in an efficient filing system both electronic and paper based as needed;
  • Perform all necessary administrative services ensuring proper functioning of the Division;
  • Organize, prepare agendas and minutes and maintain schedules of all meetings;
  • Provide administrative backup to the  IS Division staff;
  • Perform Word processing tasks such as divisional reports/letters/creation and /or formatting of spreadsheets;
  • Prepare and maintain Memo’s, Purchase Orders and track Invoices for equipment and supplies for the division;
  • Maintain schedule of software and hardware support contracts and their expiration dates; and
  • Coordinate intranet and document management information pertaining to the division.

REQUIREMENTS:

  • High school graduate with passes in English, Mathematics and Word Processing; or
  • Two (2) years experience, with demonstrated performance capabilities, working in an administrative role in a corporate environment;
  • Qualifications in secretarial studies and working knowledge of Microsoft SharePoint would be an asset.
  • Knowledge of general administrative procedures;
  • Proficiency in Microsoft Office applications, especially MS Excel, Word, PowerPointand Outlook, and
  • Excellent organizational skills to accomplish straightforward tasks.
